Job Purpose:

The Facilities Supervisor at Janus Continental Group (JCG) will manage tenants for assigned company property (commercial and residential), ensure that the property is well maintained, secure, profitable and is continually improved to meet the growing needs of the business, to the satisfaction of tenants

Key Responsibilities:

Asset Management (30%):

  • Co-ordinate all aspects of the administrative, financial and operations of the assigned portfolio.
  • Participate in the preparation and approval process of property operating budgets.
  • Follow up on rent and utility payments for company property and ensure that lease agreements are up to date.
  • Prepare monthly, quarterly and annual reports of the assigned asset portfolio.

Facilities Management (40%):

  • Provide advice to management on facilities management policy and practices including identifying opportunities for improvement, recommending and developing corrective plans as appropriate.
  • Supervise and coordinate the day to day maintenance and repair of buildings, grounds, and associated equipment. Oversee service providers that install, inspects, repairs, and maintains building systems including mechanical, electrical, plumbing, HVAC, safety and waste management.
  • Track facilities service requests and ensure requests are completed within established timelines and quality standards.
  • Monitor and control the quality and cost-effectiveness of services to ensure high standards and value for money.
  • Participate in the sourcing, contracting and management of outsourced service providers in liaison with the procurement committee
  • Conduct proper induction and training of outsourced service providers in line with the company policies and guidelines and team up with the People & Culture department to develop and implement continuous programs to ensure employee awareness and compliance to set standards.
  • Direct and plan essential central services such as security, maintenance, mail, archiving, housekeeping, gardening, catering, waste disposal and recycling.
  • Develop and implement preventive and condition based maintenance, testing and inspection schedules to ensure that facilities are operating safely and efficiently and reduce the risk of failure.
  • Prepare and present monthly, quarterly and annual reports on the assigned assets and facilities to the Head of Business unit.
  • Work with teams to ensure space allocation management is done in line with the needs of the business and in compliance with statutory requirements relating to minimum space per staff, fire safety arrangements, lighting levels, signage, ventilation and welfare.
  • Develop and implement performance management measures to monitor and demonstrate achievement of agreed service levels with internal and external stakeholders and drive continuous improvement.
  • Manage general upkeep and maintenance of the facilities and plan and implement refurbishments, renovations and office moves.
  • Plan and manage buildings upgrade works, ensuring that work is progressing as planned, cost is kept within budgets and work quality is of expected standards.

Compliance (20%):

  • Formulate, monitor and evaluate the company’s facilities management strategies, policies and procedures and lead their implementation.
  • Convene Health and Safety committee meetings, maintain minutes and ensure relevant trainings are carried out for compliance purposes.
  • Be aware of, adhere to, and implement any legislative requirements consistent with overall duties of this position.
  • Control and manage all safety related issues including maintenance, inspection and testing for all of the fire safety equipment and systems and keeping up-to-date records including certificates of compliance.

People Management (10%)

  • Lead, coach, mentor and develop a high performing team that delivers high value and prudent cost management.
  • Work with the P&CBP and Head of Business Unit to translate business strategy into specific annual departmental objectives and KPIs, cascade them to individual performance goals and cascade and track them on a regular basis through performance reviews.
  • Facilitate regular and open communication and exchange of information in the function in order to implement changes and improvements effectively.
  • Scope training needs and ensure staff are trained regularly enabling them to achieve the operational and financial metrics within their areas of responsibility and succeed in their roles.
  • Manage staff attendance, leave scheduling and disciplinary issues as per the outlined policies and procedures.
  • Promote and adhere to the organization’s culture and values.
