Finance Manager

Reporting to the Finance Manager, the Finance Officer will support the mission, goals, and operations of  the Green Belt Movement in Kenya through the provision of accurate, complete, and timely professional  financial  services. The  Finance  Officer will  ensure  accurate  Financial Planning,  Financial  reporting,  Cash  flow management & Cost control, Donor Reporting and Financial system updating and reporting.
Duties and Responsibilities 

  • Review of imprest and ensure compliance  and correctness, timely Liquidation of imprest in the  system and reconciliation on Imprest.
  • Timely preparation and processing of all bank accounts reconciliations.
  • Facilitate the filling of annual returns, both KRA and NGO Board.
  • Records Management; ensure that all documents relating to donor transactions are properly filed  and available when required;
  • Ensure timely processing of payroll and submission of statutory deductions
  • Produce monthly management accounts i.e. Budget vs Actuals and projections
  • Produce Aging Analysis for accounts receivables and payables
  • Produce exception reports on imprest recoveries i.e. shortages, recoveries from payroll, possible  fraud reports.
  • Sit in for Finance Manager when duty calls.
  • Any other responsibility that could be assigned from time to time

Qualifications & Experience 

  • Preparation of Annual Budgets for programs & the Organization in collaboration with the program  team and Finance Manager
  • Preparation of donor budgets for proposals in collaboration with the programs team and Finance  Manager.
  • Recording and timely reporting of grants income received.
  • Monitor all costs to ensure they are within the projects budget; Appraisal of requests to ensure  cost effectiveness and compliance financial policies and procedures
  • Follow up on all donor receipts through the resource mobilization office.
  • Ensure budget uploads onto the QuickBooks system for all new grants.
  • Ensure clearance of the due to and due from accounts.
  • Monitor the staff advances to ensure compliance with laid down procedures
  • Bachelor’s  Degree  in  commerce  BCOM  or  Business  Administration  majoring  in  Accounting  or  Finance
  • At least 5years of experience in Financial Accounting, book keeping and project accounting and  related areas

Professional Accountancy Qualifications (CPAK/ACCA). 

  • At least 3 years of experience in using QuickBooks Accounting System
  • Demonstrable knowledge of MPESA Bulk Payment System.
  • Experience in financial book keeping best practices
  • Proficient in Excel, Microsoft Office packages and QuickBooks Accounting System
  • Effective verbal, written, presentation and listening communications skills.
  • Must maintain strict confidentiality in performing the duties of the Finance Officer with high-level  of integrity and honesty and be able to work under minimum supervision.

Duties and Responsibilities  

  • Plan, direct and coordinate timely implementation of the Project in accordance with the  project  documents,  supporting  agreements,  annual  work  plans  and  the  procedures  of GBM
  • Plan all project activities according to donor and executive directives, budget projections and other guidelines
  • Conduct comprehensive needs assessments and gap analyses to identify capacity-building  needs and priorities within the public health workforce and partner organizations.
  • Prepare annual and quarterly program work plans and provide assistance to the extension officer and community facilitator to prepare individual annual and quarterly work plans
  • Support the design and development of evidence-based training curricula, modules, and materials to address identified capacity-building needs and objectives.

Duties and responsibilities  

  • Facilitate orientation and sensitization meeting with the community.
  • Assist in planning and facilitation of various trainings in consultation with program staff.
  • Assist in facilitation of socio-economic and KAP surveys.
  • Facilitate meeting for consultants and program staff with partners and community.
  • Consult communities and discuss with them on how to maximize the impact of GBM’s  assistance and their participation
  • To follow up, map and keep track of all the tree nursery groups in the project area
  • Maintain a system for timely information and idea-sharing on lessons learned and changing  circumstances on projects.
  • Maintain partnership and utilize the existing partner’s resources for community capacity building.
  • Work closely with Green Volunteers, Tree Nursery Groups and support their capacity  building.
  • Facilitate  the  establishment  of  Community  Groups  and  support  them  in  registration processes.
  • Enhance  and  ensure  community  participation  at  all  stages  of  water  projects  (projects design, project implementation, project handing over and project evaluation).
  • Monitor and supervise the activities of the Tree Nursery Groups
  • Conduct  and  work  closely  with  other  staff,  close  working  relationship  with  relevant  partner institutions
  • Source and organize secondary socio-economic information of the zone and wards
  • Source and compile training materials for users.
  • Assist in facilitating the community, people’s awareness for the donors visit and meetings.
  • Promote sustainable land management and climate-resilient production practice on-farm and on the riparian reserves
  • Support  in  the  review  and  development  of  training  materials  and  modules  for  food security, livelihoods and resilience initiatives in the project
  • Provide  monthly  progress  reports  on  the  project  implementation  or  quarterly  as required;
  • Assist  in  mapping  all  the  project  activities  via  GPS  and  send  the  details  to  the  GIS department in good time;
  • Give necessary support in implementation of GBM’s projects when needed.
  • Follow up to ensure that the community volunteers/casuals are paid on time within the project areas;
  • Represent GBM in stakeholders’ meetings upon request.
  • Support and coordinate GBM project with other stakeholders
  • Carry out other works as assigned by the organization

Skills and Qualifications  

  • Bachelor’s  Degree  in  Natural  Resource  Management,  Business  Administration,
  • Community Development, Management or related field. A diploma with 5 years’ relevant  experience would be accepted
