Procurement Officer at Mawingu
Position Summary:
The Procurement Officer at Mawingu plays a critical role in securing cost-effective agreements with suppliers, managing end-to-end procurement processes, and ensuring that the company’s purchasing strategies align with its overall vision and operational needs. This position requires strong analytical, negotiation, and stakeholder management skills to drive value for the organization while ensuring quality, compliance, and efficiency in procurement activities.
The position will be responsible to support procurement operations across Mawingu’s current operations in Kenya.
Procurement Strategy & Supplier Management
- Support the Procurement Manager in developing and executing procurement strategies that drive cost efficiency and value for money.
- Negotiate and secure advantageous terms with suppliers, ensuring cost-effectiveness, quality assurance, and timely delivery.
- Conduct market research to identify new and competitive suppliers, enhancing the company’s vendor portfolio.
- Establish and maintain strong relationships with key suppliers, ensuring performance monitoring and service-level adherence.
- Monitor business trends and product availability to secure the best pricing for goods and services while maintaining quality standards.
Procurement Process & Compliance
- Liaise with internal stakeholders to understand specifications, requirements, and business expectations.
- Review and recommend approval of purchase orders, ensuring alignment with procurement policies.
- Ensure strict adherence to procurement policies and regulatory compliance, mitigating risks associated with vendor selection and contract execution.
- Maintain accurate records of procurement documents (e.g., contracts, purchase orders, work completion certificates, supplier evaluations, etc.).
- Conduct due diligence on pre-qualified vendors to mitigate supply chain risks.
Contract & Cost Management
- Monitor existing contracts and supplier performance, renegotiating terms where necessary to maximize value.
- Assist the Procurement Manager in budget control and spend management, driving a culture of cost optimization.
- Lead supplier dispute resolution processes, ensuring smooth supplier relationships and contract execution.
- Implement Service Level Agreements (SLAs) based on business needs to enhance procurement efficiency and service quality.
Procurement Reporting & Performance Analysis
- Participate in the monthly reporting of procurement KPIs, including cost savings, vendor management performance, and market intelligence insights.
- Work with Accounts Payables to ensure timely payment processing for vendors within the designated category.
- Provide data-driven insights for continuous process improvement in procurement operations.
Operational Support & Process Optimization
- Follow up with suppliers to ensure timely deliveries, resolving any supply chain bottlenecks.
- Use judgment, diplomacy, and confidentiality in managing procurement-related information.
- Support department heads and the budget team in implementing purchasing plans and optimizing lead times.
- Continuously seek process improvement opportunities to enhance procurement efficiency and agility.
- Undertake additional procurement-related tasks as assigned by the Procurement Manager.
Qualifications & Experience
- Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related field.
- Certification in Procurement from a recognized institution or professional body (e.g., CIPS, KISM) is preferred.
- Minimum of 5 years of relevant experience in procurement and supply chain management.
- Strong negotiation, analytical, and stakeholder management skills.
- Excellent communication, organizational, and time management abilities.
- Experience in project management is an added advantage.
- Proficiency in procurement software and data analysis tools is desirable.
