Job Summary:
The Accountant is responsible for managing financial transactions, ensuring compliance with regulatory requirements, and maintaining accurate financial records. This role includes bank reconciliations, accounts payable and receivable management, statutory filings, and financial reporting. Experience with NetSuite is essential for efficient financial operations.
Key Responsibilities:
- Weekly Bank Reconciliations: Conduct comprehensive reconciliations of all bank accounts on a weekly basis to ensure accurate financial records. Investigate and resolve discrepancies promptly.
- Receive Purchase Orders (POs) in NetSuite: Accurately process and record POs in NetSuite. Track and manage PO statuses to ensure efficient order fulfillment. POs to be received as soon as GSAP shares the intercompany invoice.
- Make Bank Payments for All Subsidiaries: Prepare and execute bank payments, verifying payment requests against supporting documentation and maintaining transaction records.
- File Statutory Deductions: Calculate, prepare, and submit statutory deductions, including PAYE, VAT, NSSF, NHIF, and Housing Levy, by the 5th of every month. Ensure compliance with tax and labor regulations.
- Update Weekly Cash Inflows and Outflows: Prepare weekly reports on revenue collections, payments, and cash positions for financial planning.
- Manage Accounts Payable (AP) in NetSuite: Oversee AP processes, ensuring accurate entry, approval, and timely vendor payments. Reconcile vendor statements and resolve discrepancies.
- Conduct Margin Analysis: Perform profitability assessments across products, services, or business segments. Provide insights and recommendations for cost optimization.
- Monitor Accounts Receivable (AR): Track AR balances to ensure timely collection of outstanding invoices. Address payment delays or disputes and implement collection strategies.
- Review Monthly Sales vs. Budget for Sales Representatives: Analyze and compare sales performance against targets. Identify variances and provide feedback to management.
- Prepare Monthly Financial Reports and Close Accounts: Compile monthly financial statements, including income statements, balance sheets, and cash flow statements. Monthly close to be completed by the 7th of every month.
- Calculate Sales Commissions: Accurately compute sales commissions based on company policies and ensure timely payment processing.
- Audit Preparation: Assist auditors by preparing required schedules and responding to audit inquiries.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- CPA or ACCA certification preferred.
- 4-5 years of experience in an accounting role, preferably in a fast-paced environment.
- Strong knowledge of accounting principles, tax regulations, and financial reporting.
- Proficiency in NetSuite and other accounting software is required.
- Experience with accounts payable, accounts receivable, and bank reconciliations.
- Strong analytical and problem-solving skills.
- High attention to detail and accuracy.
- Ability to handle confidential financial information with integrity.
- Excellent organizational and time-management skills.

Job Summary:
The Office Coordinator is responsible for ensuring the smooth operation of office functions, including administrative support, facility management, logistics, warehouse management, and coordination of office activities. This role requires excellent organizational skills, strong attention to detail, and the ability to multitask in a fast-paced environment. The office coordinator reports to the Finance and Administration Manager.
Key Responsibilities:
- Serve as the primary point of contact for Kenya office-related inquiries and correspondence.
- Sales support by generating the relevant documents.
- Logistics management, including coordinating shipments, tracking deliveries, managing transportation schedules, and ensuring timely distribution of goods. Work closely with carriers and freight forwarders to ensure cost-effective and timely transportation. Monitor and resolve shipping delays, damages, or discrepancies.
- Warehouse management, including inventory control, stock organization, ensuring efficient space utilization, overseeing incoming and outgoing stock, and maintaining accurate warehouse records. Implement and maintain best practices for inventory tracking, minimize stock discrepancies, and ensure all stock movements are accurately recorded. Coordinate stock audits and cycle counts to maintain optimal inventory levels.
- Oversee daily office operations, including supply management, equipment maintenance, and general facility upkeep.
- Manage office schedules, meetings, and bookings.
- Provide administrative support to executives and other team members, including scheduling, document preparation, and data entry.
- Handle incoming and outgoing mail, deliveries, and shipments.
- Maintain accurate records and files, both physical and digital.
- Support HR functions such as onboarding new employees, maintaining employee records, and assisting with benefits administration.
- Ensure compliance with office policies and procedures.
- Coordinate with vendors, debtors, and service providers for office-related needs.
- Perform other duties as assigned to support the efficient operation of the office.
Qualifications:
- Bachelor’s degree in administration, logistics, or business-related.
- A minimum of 4-5 years of experience in a busy administrative or office coordination role involving warehousing and logistics.
- Strong knowledge of warehousing procedures, inventory control, and logistics operations.
- Experience in managing shipping schedules, coordinating deliveries, and working with freight forwarders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Problem-solving skills and the ability to adapt to changing priorities.
- Customer service-oriented mindset with a proactive approach.
