An Administrative Assistant at Drop Access Limited is responsible for supporting the smooth operation of the organization by providing administrative support to various departments. This role involves managing daily office tasks, maintaining records and ensuring efficient communication across teams.

Key Responsibilities

  • Ensure the office environment is clean, safe, and well-maintained, liaising with cleaning staff or contractors.
  • Oversee the maintenance of office equipment (printers, copiers, etc.) and coordinate repairs when needed.
  • Coordinate and schedule meetings, conference calls, and video conferences, ensuring participants have necessary information and materials.
  • Prepare meeting agendas, take minutes, and distribute them to attendees, following up on any actions agreed upon.
  • Maintain accurate and up-to-date filing systems for both paper and digital records.
  • Liaise with external partners, vendors, and customers on behalf of the organization, providing timely and courteous responses.
  • Assist in preparing responses to inquiries, requests for information, and official correspondence.
  • Enter and update data into databases, systems, and spreadsheets accurately.
  • Compile and maintain administrative records, preparing summaries and reports on office operations or projects.
  • Provide administrative support for departmental or company-wide projects, helping to track deadlines, prepare project documentation, and coordinate team communications.
  • Assist with research tasks, gathering information, and summarizing findings for reports or presentations.
  • Help with budget tracking and the processing of expense reports for specific projects.
  • Help maintain an organized and positive work environment by supporting office-wide initiatives and processes.
  • Assist in managing and updating company policies, employee handbooks, or internal resources as directed.

Qualifications

  • A degree in business administration or a related field
  • At least 2-3 years of experience in an administrative or office support role.
  • An additional special certificate is an added advantage
  • Strong verbal and written communication skills, with the ability to interact effectively with staff and external stakeholders.
  • Strong accuracy and attention to detail when preparing reports.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint,) and comfortable with using office management software
  • Ability to work with a Project management tool.
  • Ability to manage multiple tasks, time management, prioritize workload, and meet deadlines.
  • Capable of working collaboratively with colleagues and other departments as well as ability to adjust to new systems and processes and work in a dynamic environment.
