MAJOR RESPONSIBILITIES

  • Utilisation of ProVision System: Proficiently navigate and utilize the ProVision online procurement system for various procurement activities, including requisition processing and tracking
  • Assist in Supply Chain Operations: Collaborate with the Regional Supply Chain Specialist in executing supply chain tasks, ensuring that processes run smoothly and efficiently.
  • Purchase Order Management: Share purchase orders with suppliers and diligently follow up to ensure timely delivery of goods and services.
  • Team Collaboration: Work as part of a dynamic team, learning how to communicate effectively, delegate responsibilities, and collaborate with colleagues to achieve common goals.
  • Continuous Improvement and Item Catalogue Management:  Contribute to the identification of areas for improvement within the supply chain and actively participate in process enhancements and review and update the Item Catalogue within the ProVision system to ensure accurate and up-to-date information.
  • Document Management and Data Analysis:  Gain hands-on experience in data analysis and reporting, which is a crucial aspect of optimizing supply chain performance and maintaining all supporting documents related to sourcing events, ensuring proper documentation and records are stored in the system
  • Supplier Performance Monitoring and Problem Solving:  Participate in problem-solving activities, helping to identify and resolve supply chain challenges. This experience will enhance your critical thinking and decision-making skills. Collect feedback from internal stakeholders and user functions on supplier performance, following established Supplier Performance Management (SPM) guidelines
  • Timely Responses: Proactively provide feedback and updates to requesters on their procurement requests within a maximum timeframe of 48 hours.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required education, training, license, registration, and certifications

World Vision East Africa Regional Office is looking for a graphic design and digital media intern to help the team support the National and Regional Offices on various communication needs for projects in East Africa. The role will be based in the Nairobi Office.

This internship is a one-year talent incubation program aiming to give young Christian graduates real work experience, personal, spiritual, and professional development through on-the-job mentorship and coaching.

This program is designed for Kenyan graduates who are daring and ready to take up stretch assignments even in hardship areas, to learn and serve the most vulnerable children and the communities they live in

MAJOR RESPONSIBILITIES

  • Strengthen the brand identity of World Vision
  • Developing communication products including digital media, reports, publications, flyers, posters, etc.

Monitoring and Evaluation Intern

JOB PURPOSE

To influence quality and fidelity of programming by building the capacity of young professionals following on intentional capacity building and coaching sessions, integrated with their journey in Christianity. More so, the role will provide support to Monitoring and Evaluation unit to coordinate Planning, Monitoring, and Evaluations processes for evidence-based programming, accountability and learning while maintaining comprehensive M&E systems for the East Africa region.

The role shall be integral in ensuring collation of quality impact data, visualization and sharing on the regional impact platforms including WV central, and supporting the Field Offices towards quality and agile needs-based programming, in reference to well documented and intelligent information from across the region. This role shall enhance innovation managing online data collection and management tools including Kobo Collect, ODK, etc. targeted to influence quality and timely impact data.

MAJOR RESPONSIBILITIES

Provide technical support in planning, monitoring and database management

  • Support review of sampled standardized monitoring forms from National offices
  • Support in the creation and collation of appropriate Annual outcome and reach data from Field Offices
  • Support analysis, aggregation and synthesis of impact, monitoring and evaluation data across the Field Offices and reporting
  • Support in the review of sustainability and Transition plans where appropriate
  • Support in the review of assessment, baseline and evaluation design documents and related reports
  • Support FOs in collaboration with IT on the utilization of online data collection and management tools including Kobo Collect, ODK etc.

The East Africa Regional Office, operating in nine countries of East Africa namely; Burundi, Ethiopia, Kenya, Rwanda, Somalia, South Sudan, Sudan, Tanzania and Uganda is looking for an intern Accountant to work in its Nairobi office.

We are looking for an intern to join our Finance and Administration team. This opportunity will offer the intern a sharp learning curve by being a member of a diverse and efficient team serving in a fast-paced finance and administration unit.

Key areas of involvement

Accounts Payable Function  

  • Process cheques / Online payments with supporting documentation and submit for review and subsequent payment
  • Prepare monthly creditor reconciliations and liaise with vendors to ensure prompt clearance or resolution of pending or disputed items.
  • Liaise with The Finance officer to clear outstanding items in the Bank Reconciliation

Cash / Advance Settlement Management 

  • Process cash requests according to policy, processes and agreed turnaround times while coordinating with the onsite bank teller to reconcile uncollected amounts.
  • Account Allocation of Balance Sheet A/C relating to Advances for proper Aging
  • Manage the corporate credit card process by booking of the expenses in expense reporting systems General Ledger reconciliation

Inter-office payment settlement system operations

  • Perform Account allocation of 500 Accounts relating to Inter-office payment settlement system to track and establish amounts that have not been allocated for payments to ensure that all payable amounts are sent out on a monthly basis.
  • Perform account Allocation and reconciliation of balance sheet accounts as may be required

Document Management and Archiving 

  • Keep records of documents filed or removed using a tracking tool
  • Ensure correct filing, legibility and proper condition of financial documents
  •  Find and retrieve information from files in response to requests from authorized internal and external users (Auditors, Government agencies)

Administrative Roles 

  • Support in Events and facilities management
  • Any other administrative roles as May assigned from time to time
  • Participate in some finance review meetings and any other learning duties as may be assigned by the supervisor.

MAJOR RESPONSIBILITIES

Statutory Management support

  • Ensure the remittance of NHIF; NSSF, NITA and HELB and other staff contributions are made to the relevant authorities by 9th of every month
  • Ensure statutory files are also updated with remittance advices or any other proof of remittance
  • Mandatory staff deductions are remitted to the relevant bodies by 9th of every month and their records are upto date with the payments

On boarding and staff exits Management

  • Collaborate with HR and department heads to prepare orientation schedules for new staff members.

  • New staff are fully oriented within one month of reporting.

Administer and support the management of the National Staff Benefits scheme

  • Assist with timely member enrolment and deletion processes.

  • Support in the filing and updating of staff records with scheme membership documents

  • Facilitate Work permit renewal applications for international staff and their dependents on EFNS
  • Update the resident permit database
  • That all international staff and dependents have valid documentation on a timely basis.

Record Keeping

  • Help maintain staff records in both physical and digital formats
  • Ensure staff files are organized and complete per audit requirements.
  • Ensure all statutory documents/policies are signed and in staff files
  • Assist with drafting visa letters, bank letters, and processing travel insurance documents.
  • Update staff lists on a regular basis.

Research, Development and Learning Intern

JOB PURPOSE

The role, located in the East Africa regional office, intends to influence development and use of needs-based research and information for knowledge building, generation and sharing by building the capacity of young professionals following on intentional capacity building and coaching sessions, integrated with their journey in Christianity. More so, the role shall work closely with the Strategy and Programme Quality department, with the support and coaching of the Monitoring and Evaluation Advisor, and in collaboration with other unit teams and leaders to support in the implementation and tracking of the partnership/regional office learning agenda. The role shall support, in collaboration with other units, in re-designing and updating the World Vision International intranet (wvcentral) with up-to-date communications, impact and strategic information; tracking the implementation of Box project for timely document updates that would ensure ease of access and collaboration within (and across) teams.

The role will work closely with the regional M&E Advisor in ensuring implementation of quality research and generation of timely analysis on context (desired topics) enabling learning and agility in programming. Such information will be used in the development of proposals and for pitching by the Regional Leader and the Senior Leadership Team.

MAJOR RESPONSIBILITIES

Support documentation and learning

  • Supporting mapping of NO and regional researches in line with Research Agenda and Plans
  • Supporting the development of summary research findings with the related offices and/or units
  • Reviewing research and learning reports for quality and compliance to set standards
  • Conducting research on various topics and subjects as assigned including in providing data on indicators of interest
