Administrative Assistant at Farming Systems Kenya (FSK)
Farming Systems Kenya (FSK) is a registered Faith Based NGO that has been operating in Kenya since
1981 to reduce poverty through agricultural and community development interventions. The organization works with and supports small-holder farmers to improve their productivity and incomes.
FSK wishes to recruit a competent, qualified and result oriented person to fill the position of
Administrative Assistant to be based at Nakuru Office.
He/she will report to the Senior Accountant and will undertake the following responsibilities.
Front Office Support:
- Ensure the front office reception and overall office environment are kept clean, organized, and welcoming at all times
- Welcome and assist visitors, ensuring a positive and professional first impression
- Handle incoming and outgoing correspondence, ensuring timely distribution and processing.
Administrative Support:
- Respond to inquiries from clients and visitors in a courteous and helpful manner.
- Assist in filing and archiving documents.
- Support staffs leave management and ensure accurate record-keeping.
- Provide logistical support for staff accommodation arrangements.
- Assist in planning and organizing events, workshops, or conferences.
- Prepare periodic reports on administrative activities and processes.
Procurement Duties:
- Assist in sourcing and evaluating suppliers to meet procurement needs.
- Prepare and manage procurement documentation, including purchase orders and supplier contracts in consultation with Senior Accountant
- Oversee the maintenance of FSK properties and coordinate repairs with service providers.
Facilities Management:
- Ensure the availability of essential services (utilities, internet, and telephone), supplies, and amenities for staff and visitors.
Executive Support:
- Handle correspondence related to the Executive Director’s office and other duties as assigned.
- Draft, edit, and proofread letters, reports, presentations, and other documents on behalf of the Executive Director
Safety and Compliance:
- Address employee safety concerns and ensure compliance with safety standards.
Other Duties:
- Perform any other duty as may be assigned by supervisor or designee from time to time
Qualifications:
- University Degree/Diploma in Business Administration, Management, Human Resource, or a related field from a recognized institution.
- Minimum of 3 years of working experience in a busy environment.
Knowledge and Skills:
- Strong attention to detail and organizational skills.
- Excellent command of English and Kiswahili.
- Proficiency in MS Word, Excel, PowerPoint, and Email Outlook.
- Highly developed planning and multitasking abilities.
- Strong interpersonal and communication skills.
- General understanding of HR and procurement procedures is an added advantage.
- Ability to work under pressure with minimal supervision in a multicultural environment.
- Self-motivated, welcoming, punctual, reliable, and a team player.
