We are seeking a versatile and dedicated Legal and Administration Assistant at Artcaffe Cafe Restaurant Bar to become the backbone of our operational and legal support functions. This is a pivotal role for someone who thrives in a fast-paced, multi-faceted environment and takes pride in ensuring precision, efficiency, and confidentiality in everything they do.

Your Role: The Operational Linchpin

As our Legal and Administration Assistant at Artcaffe Cafe Restaurant Bar, you will be the central point for a diverse range of critical tasks. You will ensure our legal documentation is impeccable, our administrative processes run seamlessly, and our team is supported with top-notch travel and information management. Your work will be essential to the smooth and compliant operation of our entire organisation.

Key Responsibilities:

Legal & Contract Support:

  • Draft, review, and manage contracts, Service Level Agreements (SLAs), tenancy, and lease agreements, ensuring full compliance with legal and regulatory standards.
  • Handle insurance claims and diligently follow up for compensation.
  • Maintain and organise all legal documents, contracts, and lease/insurance schedules.
  • (For Paralegals) Your expertise will be highly valued in providing crucial legal administrative
    support.

Administrative Excellence:

  • Act as a key liaison between branches and departments, ensuring clear communication.
  • Manage office correspondence, including drafting, dispatch, and tracking.
  • Oversee the procurement of office supplies and equipment, maintaining positive supplier
    relationships.
  • Support the onboarding process for new team members.

Travel & Logistics Coordination:

  • Coordinate all employee travel, including flight bookings, hotel reservations, airport transfers, and
    visa procurement.
  • Manage the invoicing and payment process for all travel arrangements.

Information Management:

  • Develop and maintain sophisticated company databases and filing systems (both physical and digital) for easy retrieval of information.
  • Lead the yearly archiving and documentation process, ensuring all records are accurately indexed
    and stored.

Supervision

  • Manage and support assigned administrative staff.

What We’re Looking For:

  • A Higher Diploma or Bachelor’s degree in Business Administration, Management, or a related field.
  • A Degree in Law will be a distinct advantage.
  • Minimum of 5 years of experience in a similar, multi-faceted administrative role, preferably with
    legal responsibilities.
  • Paralegals are strongly encouraged to apply.
  • Proven experience in archive management or real estate is a plus.
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook).
